Privacy
This website (bhc-hoa.org) and its Owner Portal are run by the Board of Directors of the Bridgehampton Crossing Homeowner's Association (the "Association") for the owners of its lots. We keep only the information we need to run the Association, and we do not sell it or use it for advertising.
What we keep
- Owner records: your name, the lot(s) you own, your email address, phone number and mailing address, and whether you agree to receive Association notices by email.
- Lot records: the street address, town map-block-lot number and town assessment, all taken from Farmington's public property records.
- Dues: the charges, payments and balance for each lot.
- What you send us through the portal: requests, concerns, messages, attached files and neighbor posts.
- Sign-in and activity: one-time sign-in codes (stored scrambled and expiring within minutes), a sign-in cookie, and a record of changes made in the portal (for example, who updated a phone number and when).
We do not use advertising or tracking cookies or third-party analytics. The site sets only the cookies needed to keep you signed in.
How we use it
- To confirm who you are when you sign in, and to show you only your own lot's information.
- To send sign-in codes, Association notices and replies to your requests.
- To keep the Association's owner roster and dues records, as the Declaration and Bylaws and Connecticut law require.
Who can see it
- You see your own lot, balance and requests.
- The Board sees the owner roster, dues records and requests to carry out its duties. Concern reports are seen only by the Board.
- Other owners see only what is meant to be shared, such as approved neighbor posts and Association documents.
- The public sees only pages and documents marked Public.
- We may share information with the Association's attorney, accountant or insurer when needed, or when the law requires it. Owners may also have rights to inspect certain Association records under Connecticut law.
Services we use
- Cloudflare hosts the website, database and stored files in the United States, and sends the site's emails.
- QuickBooks Online (Intuit) holds the Association's accounting. With the Board's authorization, the portal reads each lot's charges and payments from QuickBooks to show owners their balance. The portal only reads from QuickBooks; it does not change the Association's books, and the connection key is stored encrypted and never shown in the browser.
These services handle information only to provide their service to the Association.
Keeping it safe and how long we keep it
The site uses encrypted connections (HTTPS), sign-in codes instead of passwords, and access limited by role. We keep owner and dues records while you own a lot and afterward as long as the Association needs them for its records and legal obligations. Dues entries are never deleted; mistakes are corrected with a visible adjustment.
Your choices
When signed in, you can update your phone number, mailing address and email-notice choice yourself. To correct your name or sign-in email, or to ask what information we hold about you, email the Board at the address below.
Terms of use
- The Owner Portal is for current owners of lots in Bridgehampton Crossing and for the Board. Please don't share your sign-in codes or let others use your account.
- Use the portal only for Association business and neighborly communication. The Board may remove posts or files that are inaccurate, offensive or unrelated, and may suspend access that is misused.
- Balances, tax estimates and property values on the site are provided for convenience. The Association's official records and the Town of Farmington's bills govern if anything differs; tax and value figures are not an appraisal or a tax bill.
- The site is provided "as is." The Association will make reasonable efforts to keep it accurate and available but is not responsible for interruptions or errors.
- The Declaration, Bylaws and rules of the Association remain the governing documents. Nothing on this site changes them.
- We may update this page from time to time. The effective date above shows when it last changed.
